How to Send Calendar Availability in Outlook
This method is suitable for one-off scheduling requests or when you need to quickly convey your availability to someone outside your organization. Outlook transmits free/busy data using the iCalendar (.ics) standard, ensuring cross-platform compatibility.
Step-by-Step Guide:
Compose a New Email: Initiate a new email message within Outlook.
Navigate to the ‘Insert’ Tab: In the message ribbon, locate and click the ‘Insert’ tab. Within the ‘Insert’ group, find and click the ‘Calendar’ button.
Configure Calendar Options: A dialog box will appear, allowing you to customize the availability information you wish to share.
Key options include:
Calendar: Select the specific calendar you wish to share (if you have multiple calendars).
Date Range: Specify the date range for which you want to display availability. Options include ‘Today,’ ‘Next 7 days,’ ‘Next 30 days,’ ‘Whole calendar,’ or a custom date range. Selecting a broader range might be beneficial for long-term planning, but be mindful of the recipient’s need for clarity.
Detail: Control the level of detail included in the availability information. Options include:
Availability only: Shows only free/busy status (recommended for external sharing).
Availability only, and titles: Displays free/busy status and the subject line of appointments.
Full details: Includes free/busy status, subject lines, locations, and all other appointment details (use with caution, primarily for internal colleagues).
Show Within Email: Embeds a visual representation of your availability directly within the email body. This provides immediate feedback to the recipient.
Attach as an iCalendar (.ics) file: Creates an iCalendar file that the recipient can import into their calendar application. This is useful when the recipient’s email client does not directly support displaying embedded calendar information.
Insert and Send: Click ‘OK’ to insert the calendar information into your email. Complete the email and send it to the recipient.
Considerations:
Privacy: Always be mindful of the ‘Detail’ setting. Sharing ‘Full details’ with external parties could expose sensitive information.
Time Zone: Ensure that both you and the recipient are aware of the time zone being used. Mismatched time zones can lead to scheduling errors. Outlook typically transmits time zone information within the iCalendar file, but it’s always good practice to explicitly state the time zone in the email.
Real-time Updates: The availability information sent via email is a snapshot in time. Changes made to your calendar after sending the email will not be reflected in the recipient’s view unless you resend the information. For dynamic, real-time availability, consider using calendar sharing.
